Job Description
Maternity of Mary and Holy Childhood parishes are seeking a joyful, dynamic Administrative Assistant to join our expanding team.
The Administrative Assistant is the first face and voice that parishioners encounter, serving as the representative of the pastor and the parish. Therefore, the Administrative Assistant must have strong interpersonal skills, a passion for welcome, and strong organizational skills. Duties include:
Welcoming and assisting visitors to the office, directing them to the appropriate minister/staff when unable to provide the information or services they require
Receive, screen and direct incoming phone calls, taking messages as necessary and handling routine questions regarding the activities of both parishes
Receive and respond to general inquiries via email
Establish and maintain the process for welcoming new parishioners
To organize the parish office, generating consistent processes for the handling of information, overseeing and coordinating the calendar of events,, and maintaining stock of office and maintenance supplies
To sort and deliver inbound mail to the appropriate people
To assist with basic bookkeeping and administrative duties including the processing of invoices and EFT payments
Assist with additional office duties including the coordination of rental inquiries, PACE/Prism application, or other duties as assigned
To ensure bulletins are mailed to homebound parishioners who request a copy
To work closely with the Office and Liturgy assistant in the initial intake and coordination of funerals and other sacraments, and the coordination of special masses and parish drives (including: the Mass of Anointing, Mass of Remembrance and the Thanksgiving Drive)
To attend the weekly staff meetings, preparing relevant information and updates on assigned tasks beforehand
To coordinate the Mass Intentions calendar
This is a full-time, non-exempt position
Salary Range: $20-$24/hour depending on experience
Qualifications
Education & Experience Requirements
Practicing Catholic, registered member of a Catholic parish or Catholic faith community, in agreement with the Church’s teachings on faith and morals
Knowledgeable about Catholic teaching and practice in matters relevant to completion of duties
Highly organized individual with excellent time management skills, capable of overseeing multiple schedules and events
Excellent communication skills, both written and oral
Knowledge of basic bookkeeping desirable not required
Strong computer skills, knowledge of Microsoft Office and Google Workspace, capable of operating and troubleshooting the printer/scanner/fax machine
Successfully complete the Archdiocesan background check, Safe Environment and Code of Conduct training
